Hey Kara started with meal plans and grew into laundry and home cleaning. Customers loved having one provider for food and home care, but every service came with its own way of getting paid.

Meal plan customers forgot to renew before the next week’s cooking. Laundry was paid by transfer and payment link after each pickup. Cleaning visits were booked, confirmed, and chased over WhatsApp, where disputes about missed visits got buried in long chats.

At the end of each month, the team had to stitch together bank alerts, spreadsheets, and chat screenshots to work out what was collected, what failed, what was outstanding, and what had actually settled across three businesses at once.

Solution

One infrastructure. A workflow for each service.

Hey Kara moved all three services onto Subby. The infrastructure is shared; the workflow is not.

Meal plans run on plans, delivery schedules, and upcoming collections, so the kitchen knows who has paid for next week before it shops. Laundry runs on monthly allowances and pickup schedules. Cleaning runs on recurring visit plans: weekly, fortnightly, or monthly.

Customers get reminders by SMS, email, in-app notifications, Telegram, and WhatsApp before each payment is due. Failed payments are retried automatically, and outstanding balances are tracked per customer, even when someone subscribes to more than one service.

Disputes about a missed delivery or a skipped cleaning visit are logged on Subby instead of in WhatsApp, and finance sees settlements and payouts for all three services from one dashboard.
